      The Exhibitor will be liable for and will indemnify and hold harmless Management from any loss or damages whatsoever suffered as a result of any person or company including, without limiting the generality of the foregoing Exhibitor, other Exhibitors, Management, the owner of the property and their respective agents, servants and employees and members of the public attending the Expo, either on the said space or elsewhere if said loss or damages arose or were in any way connected with the Exhibitor’s occupancy of said space.

      The Exhibitor shall secure and furnish upon demand evidence of comprehensive general liability insurance with a limit not less than $5,000,000 inclusive including coverage for premises and operations, products and completed operations. The Exhibitor is responsible for the cost and placement of all insurance related to any potential loss or damage resulting from participating in the Expo.

      Exhibitor passes

      Exhibitors will be assigned a range of 3-60 complimentary exhibitor passes determined by square footage of purchased exhibit space. The pass allotment is displayed on the Exhibitor Resource Center. Once you redeem your complimentary passes, these can be transferred to staff in a variety of methods: printed and distributed, added to mobile wallet and screenshot of QR code forwarded to staff or forward the confirmation email. See Ticket Information page in your Exhibitor Resource Center for more information.

      Discounted Exhibitor Ticket Program

      Do you need more tickets? As an exhibitor at Ag in Motion, you have access to a code that allows you to purchase additional tickets at a discounted rate of $20/ticket. This code is only valid for tickets purchased online and can be used for any purpose – additional staff, invited guests, etc.

      There is a maximum order limit in the online system of 50. You can place multiple orders using the discount code.

      Parking on-site

      Each parking lot will offer exhibitor parking on a first-come, first-served basis due to limited capacity. An exhibitor parking pass is required and can be printed from the checklist. All exhibitor staff require an admission pass to access the show daily. During Ag in Motion, vehicles will not be permitted on-site. Vehicles can only remain on-site for unloading/loading and must be removed before 8:00 am daily (see Move-in/out Procedure).

      Shipping information
      Ag in Motion does not provide small parcel storage on behalf of exhibitors. Exhibitors can have material shipped in advance through the Handy Special Events Advanced Material Handling service (fees apply). Download instructions for ordering this service from your exhibitor checklist. For large equipment deliveries, please ensure the exhibiting company’s name and site location is on all trucking/courier manifests. Address for large equipment deliveries: Hwy. 16 and Range Road 3083, RM #344, Langham, SK, S0K 2L0 (Use this address for deliveries June 1 to Sept 1 only)
      Loading / unloading and lifts

      Ag in Motion will provide lift services to assist Exhibitors in the handling of heavy materials. Lifts will be available by contacting the Dispatch Office located outside Gate B on a first-come, first-served basis. For the lift order to be completed, exhibitor staff must be present at their exhibit space when the lift arrives. If your lift will take longer than 1 hour, there will be a fee applied to the service and our operators may need to leave and return to complete the lift. The fee for the overage of 1 hour of lift service will be at the rate of $150.00/hr.

      Please refer to Move-In/Out Procedure for lift availability dates.

      Show Management will provide 4 ft. and 3 ft. loading ramps for trucks. To prevent potential turf damage, all highway trailers must be unloaded at the loading ramp area located off Range Road #3083. Smaller vehicles can load and unload at the Exhibitor’s space.

      Water
      Ag in Motion will have two sources for water:
      • Water for Human Consumption – Cases of bottled water and ice should be ordered in advance using the Exhibitor Resource Center. Delivery to your exhibit space will be arranged.
      • Utility Water – Show Management will arrange for water service to fill sprayers or other large containers for demonstration purposes. Utility water will be available throughout the show site. This water is not suitable for human consumption.
      Garbage and recycling

      Please place all garbage in front of the exhibit space on the street or pavilion after 4:30 p.m. daily for pick-up. If required, please contact any Ag in Motion staff member to request garbage collection. Ag in Motion will provide recycling bins throughout the show site. A large recycling bin for cardboard is located outside Gate E.

      Security

      Ag in Motion contracts a private security company to provide protection of the general site.

      It is each Exhibitor’s responsibility to ensure protection of their valuables on-site, especially small portable items. Exhibitors are welcome and encouraged to hire additional security for their exhibit space. Contact [email protected] for information about security at your exhibit.

      Electrical – official supplier is STADIUM POWER

      One 1500-watt electrical outlet is included in the rental cost of each exhibit space. POWER WILL BE AVAILABLE ON A 24-HOUR BASIS FROM 12:00 p.m. the Sunday before the Expo until 5:00 p.m. on Thursday, closing day.

      If you require additional power, you must order through our preferred electrical supplier – Stadium Power. It is recommended to book early. Order forms can be accessed from your exhibitor checklist.

      Golf carts

      Golf Cart Rentals: Due to extremely limited golf cart availability Golf Cart Rentals are NO longer offered by Ag in Motion.

      Ag in Motion (AIM) Show Management prioritizes safety and operational efficiency throughout the duration of the event. In alignment with this commitment, the use of golf carts, is strongly discouraged during show hours. Any unauthorized use of these vehicles for site navigation during or after show hours is strictly prohibited.

      Outdoor exhibitors planning to bring a golf cart for transportation of sale items, are invited to access the Permit Request form through the Exhibitor Resource Center. Upon approval, exhibitors will be provided with one complimentary permit pass. This pass is contingent upon parking the golf cart in the designated exhibitor space and adhering to all golf cart policies outlined by the show management.

       

      Indoor exhibitors are not permitted to bring any golf carts.

      Key guidelines for golf cart usage:

      • Accepted Vehicles: Only golf carts are accepted on the show site. UTVS, powersport or any other recreational vehicles are strictly prohibited.
      • Form Submission: Complete this form if you intend to bring a golf cart to the site for personal use.
      • Entry Point: Golf carts can ONLY enter the site at the Centre Street Welcome Centre.
      • Pedestrians always have the right of way.
      • A speed limit that does not exceed 15 km/h must always be maintained.
      • Only licensed drivers 16 years and older can operate a vehicle.
      • Passenger capacity cannot be exceeded for the vehicle.
      • The vehicle must be parked when not in use, off the streets and not on the perimeter of the show.
      • The operator will remove the key from the vehicle when not in use.
      • Ag in Motion is not responsible for accidents or incidents involving any vehicle onsite. The operator is responsible for all damage caused by vehicles under their control.
      • Ag in Motion staff reserve the right to enforce these policies. Refusal to adhere to these policies may lead to removal of the vehicle from the site.

      Cellular / internet service

      Jump.ca is the official provider of High-Speed Internet and Wi-Fi access to exhibitors. Orders are due June 15, 2025. There are two service options to choose from: 

      Option 1): One Time Equipment & Network Rental 

      • Includes setup, takedown and onsite support for the entire event 
      • One time invoice – no monthly billing to worry about 
      • Network connectivity & cost based on required bandwidth: NO DATA CAPS 
      • Cat6 Ethernet & switches included (if required) to connect multiple stations 

      Option 2): Equipment Purchase & One Time Network Rental 

      • Includes setup and onsite support for the entire event 
      • One time invoice – no monthly billing to worry about 
      • Keep the device to reuse at other events, or at AIM next year 
      • Device is unlocked – can be activated on any carrier network 
      • Network connectivity & cost based on required bandwidth: NO DATA CAPS 
      • Cat6 Ethernet & switches available (if required)

      SaskTel is the major provider of cellular and related wireless services in the Ag in Motion vicinity. A temporary “Cell on Wheels” will be in service to provide improved cell service prior to and during the Expo.

      Permission to dig

      All Exhibitors wishing to dig a hole or dig post holes at the Expo must complete and submit a Permission to Dig request form from Show Management. Permission to dig forms will be reviewed, the exhibitor will be contacted to confirm approval or discuss changes that need to occur in order to dig. All regulations need to be met and necessary precautions taken by Exhibitors. Show Management assumes no liability for damage caused by faulty digging. It is imperative that Exhibitors contact Show Management before digging. Request forms can be accessed from your exhibitor checklist in the exhibitor resource center.

      Recreational vehicles (RVs)

      *NEW* Ag in Motion is no longer offering onsite overnight RV parking. We have secured a dedicated offsite RV parking area just south of the show site.
      To secure your spot, simply call 306-690-2267 or book online at Borden Bridge Campground booking to reserve your site on the neighboring property. Ag in Motion is committed to making your visit seamless. Our people mover shuttle will continue to operate every hour on the hour, offering convenient pick-ups and drop-offs just inside Gate G.

      Indoor exhibits

      Please review the complete General Information section as well.

      • Exhibitor must confine his/her presentation within the contracted space only and within the Expo rules and regulations and maintain a staff in the booth space during Expo hours.
      • Indoor exhibits shall be placed fully within the confines of the space provided. Ag in Motion will supply 3 ft. high drapes between exhibits and 8 ft. high drapes behind only those exhibits that back onto each other.
      • Exhibitors have the option of purchasing flooring for their exhibit space from Handy Special Events.
      • Any signage, decorations or display materials on the back perimeter must not be over 8 ft. high or hang over the boundaries of the space provided.
      • Display material must not obstruct sight lines of neighboring exhibitors. The maximum 8 ft. height is allowed only in the rear half of the booth space. Any exhibit materials over 5 ft. tall must be displayed 5 ft. back from the front of the exhibit space.
      Exhibit maintenance

      Exhibitor booth cleaning will be the responsibility of individual Exhibitors. An exhibit cleaning service is offered by Handy Special Events. Order forms can be accessed from your exhibitor checklist.

      Move-in / out procedures

      May 1 – October 1, Mon. – Fri. from 9:00 am – 4:00 pm except for holidays and the following:

      July 5 & 6, CLOSED

      July 11 – MOVE-IN BEGINS 

      July 15 – Ag in Motion site will be open for final move-in at 6:30 am. Exhibits must be set up by 8:00 am. All vehicles that are not a part of the exhibit MUST be removed from the Expo site by 8:00 am. 

      July 15-17 – Ag in Motion is open to visitors from 8:30 am to 4:30 pm. Only emergency and service vehicles will be allowed on the Expo site during these hours. Special permits are required to be displayed. 

      July 17 – Move-out may begin at 4:30 pm, but NOT BEFORE. Small trucks and trailers will be allowed on-site at 5:00 pm. Gates to allow incoming traffic will not open until deemed safe by Show Management. Highway trucks/trailers will NOT be allowed on-site until after 6:30 pm, or when it is deemed safe by Show Management. 

      July 18 – 25, 8:00 am – 5:00 pm 

      July 25 – All materials must be removed from the site by 4:00 pm. Materials remaining at the Site after this time will be removed at the Exhibitor’s expense. 

      Additional Information – Outdoor exhibitors

      Outdoor exhibits

      Please review the complete General Information section as well.

      Exhibitors must confine his/her presentation within the contracted space, follow the Expo rules and regulations, and provide a personal representation in the booth during Expo hours. To ensure line of sight considerations for neighbouring exhibitors, the following rules must be adhered to:

      • Exhibited machinery, equipment or other items that are under 4 ft. tall may be displayed up to the front lot line;
      • Exhibited machinery, equipment or other items that are between 4 ft. and 8 ft. tall must be placed 5 ft. back from the front lot line; and
      • Exhibited machinery, equipment, or other items that are over 8 ft. tall must be 10 ft. back from the front lot line.
      Care of the land
      • It is the sole responsibility of all Exhibitors to provide normal care of all land being used by them in accordance with the Rural Municipality of Corman Park laws and land use laws governed by the Province of Saskatchewan and the Government of Canada.
      • Exhibitors in contravention of any such laws will be expelled permanently from the Expo. The Exhibitor shall not disturb the exhibit space without obtaining written approval and on-site authorization from Show Management. All damages, losses or claims whatsoever arising from disturbing or interfering with the space of other Exhibitors will be the sole responsibility of the Exhibitor.
      Tent rentals - Official Supplier is Handy Special Events

      Handy Special Events is the preferred tent supplier for tenting requirements at Ag in Motion. Handy Rentals has qualified personnel on-site for Expo set-up and tear-down, as well as during the Expo. Tent order forms can be downloaded from your exhibitor checklist, found in your Exhibitor Resource Center. All tents are subject to inspection and removal if they do not meet the required safety standards.

      July 8–25 – Telehandlers will be on-site from 8:00 am until 4:00 pm to assist with unloading and moving equipment. NO ADVANCED BOOKING REQUIRED. CHECK-IN AT DISPATCH UPON ARRIVAL 

      July 8-10 – Exhibits that are displaying oversized / large equipment, require highway trailers to be unloaded at the exhibit space and/or will require more than one hour use of telehandlers are urged to plan their set-up for the Tuesday to Thursday during the week before the show. 

      July 15 – Ag in Motion site will be open for final move-in at 6:30 am. Exhibits must be set up by 8:00 am. All vehicles that are not a part of the exhibit MUST be removed from the Expo site by 8:00 am.

      Live animals onsite

      Exhibitors must complete a Livestock Tracking form and receive an approval letter from Show Management. This information is being collected for Health and Safety and biosecurity purposes and will not be shared. If you plan to bring live animals on-site, please complete a Livestock Tracking Form available in your exhibitor checklist.

      Ag in Motion will provide water for animals; however, Exhibitors must provide water and feed holding capacities. Exhibitors are responsible for providing all feed, veterinary and other necessary requirements for the safe care and handling of their animals. Ag in Motion will arrange with Exhibitors to remove manure daily from the Site.

      Exhibitors should leave dogs at home. If dogs are part of your exhibit, please adhere to instructions for livestock.

      Exhibitors with livestock wishing to stay on-site may do so with written permission from Show Management. Please contact [email protected].

      Programming

      Field Equipment Demonstrations

      Ag in Motion is a demonstration-oriented agricultural showcase. Exhibitors are welcome to conduct field demonstrations in conjunction with Show Management. If you are interested in participating, demonstration add-ons can be found in your resource center. Once purchased, a link to the online demonstration application form will be sent to collect additional details regarding equipment to include in the Ag in Motion featured programming. The demonstration application deadlines are: 

      Livestock demonstrations: April 11, 2025 

      Field demonstrations and Ride & Drives: May 5, 2025 

      In some cases, the equipment or product being demonstrated may require a tractor to operate the machine. If required, please notify Show Management at [email protected] to request a list of companies attending the Expo that exhibitors are welcome to contact that may be able to provide the needed equipment. Tractors or other related equipment that are not being exhibited at the show may not be used in any demonstration. 

      Guidelines have been developed for seed companies, crop input companies and suppliers, including agrochemical companies, and farm equipment/machinery companies regarding their demonstrations during the show. A comprehensive Field Equipment Demonstration Policy has been developed for all field demonstrations and is distributed to all participating companies prior to the show and is available online here:

      All demonstrators desiring to operate equipment at the show MUST attend the orientation meeting. The meeting time and location will be communicated to you after your registration is complete. Participation rules will be reviewed, and field demo assignments will be given to exhibitors. All guidelines and related rules will be fully explained during this session. Please consider it mandatory to have representation in order to receive this very important information and to ensure the safety of all participants and visitors.

      If you plan to host a private event anywhere on the site after show hours, please notify Show Management at [email protected]. For the safety of our guests, event attendees will be restricted to a specified location and will not be allowed to wander the property.

      Rules and regulations

      Sales of goods and services at the expo
      Exhibitors are encouraged to sell their goods and services at the Expo. Small sale items may be carried off the Site by the purchaser when they choose. However, Management requests that large sale items (e.g. tractors, field machinery, and water pumps) remain on-site until after the Expo closes on Thursday.
      Promotions, contest and souvenirs
      Sales, promotions, competitions, and contests conducted by Exhibitors in conjunction with their display must be free of any obligation on the part of the winner. Prize winners must not be required to place an order before collection of the prize offered. The schedule of prizes and terms of the competition must be clearly stated on the entry form. All such competitions must be approved by Ag in Motion Expo Management at least 3 weeks before the Expo. It is the responsibility of the Exhibitor to ensure contests comply with all existing government regulations. Only participating Exhibitors have the exclusive rights to promote or sell goods and services at the Expo. All other parties who attempt to make any sale solicitations without the written permission of Show Management will be permanently removed from the Expo site. Exhibitors are asked to report any infractions to the Site Office so that immediate remedial action may be taken. Distribution of samples, souvenirs, promotional material, and solicitation of business must be confined to the Exhibitor’s own booth space. Exhibitors wishing to enter another Exhibitor’s area may do so only if invited.
      Use of Uav/drones

      Exhibitors are STRICTLY PROHIBITED to operate drones at the Ag in Motion site at any time unless they are participating in a drone demonstration coordinated by management. This is both out of courtesy to visitors and exhibitors, as well as compliance with Transport Canada regulations.

      Signage

      Signage is only permitted within your exhibit space. Signage around the show site is reserved for sponsors (as per sponsorship agreement) and for show purposes unless approval is granted from Show Management. Any unauthorized signage will be removed and stored at the Site Office for pick-up.

      A general guideline for inflatable advertisements is that they must have a tether equal to or shorter than the distance of the anchor points to the exhibitor’s booth space. This rule means that the inflatable will remain in the exhibitor’s space if it deflates. The rope attached to the balloon needs to be secured and strong enough to prevent the balloon from flying away.

      In terms of balloon advertising, it is important to bring down tethered helium balloons during bad weather, and at the end of each show day. They should not be placed near anything that could potentially catch fire or get tangled in them. Should we determine that the balloon is unsafe, AIM has the authority to order its removal. Additionally, should winds exceed sixty kilometers per hour, the balloon must be securely brought down and secured.

      Clean up - Shavings/Wood/Chips/Mulch/Holes

      Exhibit space/turf must be left clear of garbage and all landscaping materials. Any holes created must be filled. If extra effort is required by Ag in Motion staff to clean the exhibit space, a charge will be applied to cover the cost. The fee is $100.00/30 min. Only Exhibitors with lots that require this final cleanup will be invoiced for this service.

      Buildings/ structures

      Ag in Motion is on a permanent site. However, all structures/buildings are required to be exhibited on a temporary basis. This will allow both Expo Management and Exhibitors the flexibility to make improvements to the site/exhibit space. Please contact [email protected], if you have questions regarding semi-permanent buildings/ structures. All buildings/structures are subject to inspection and removal if they do not meet required safety standards.

      Safety Procedures

      Safety procedures

      Exhibitors who will demonstrate moving or operating equipment are required to provide every possible precaution for the safety of Expo visitors, their own operators and exhibit personnel. All shaft, belt and chain drive units must be covered; all equipment where cutting is involved must be provided with safety shields or related safety devices.

      Show Management makes every effort to follow The Saskatchewan Employment Act and Regulations and insists that Exhibitors at Ag in Motion carry out all aspects of move-in, move-out and exhibiting at the Expo as per this provincial Act. Please see Expo Management for clarification or explanation of requirements. Failure to comply with the Act may lead to the expulsion of offending Exhibitors from the Expo site.

      Fire protection

      Ag in Motion requires that all tents over 600 sq. ft., or tents that may contain fire hazards, have a 5 lb. or greater-rated fire extinguisher located near the exhibit entrance and placed 5 ft. above the ground. Exhibitors are responsible for supplying a current fire extinguisher for their tent. Failure to comply with fire protection regulations may lead to the removal of the offending Exhibitors from the Expo site.

      Sound levels

      Show Management reserves the right to request the abatement of any or all noise-creating activities that are deemed to be destructive to the Expo, its Exhibitors or its visitors. Failure to comply with recommendations from Show Management may lead to the permanent expulsion from the Expo Site of the offending party.

      Live entertainment

      The Exhibitor must obtain written approval from Show Management before the showing of live entertainment. Submit requests to [email protected].

      Entry to expo

      Show Management reserves the right to refuse admission to the Expo site, or request the expulsion from the Expo site, of any visitor, Exhibitor, or Exhibitor’s employees who, in the opinion of Expo Management, is unfit, intoxicated, or in any way creating a disruption.

      Propane
      Exhibitors/caterers are to make their own arrangements for propane. Propane Installations for Cooking or Demonstrations: All caterers and Exhibitors using propane or other flammable fuels for cooking or other equipment demonstrations must meet the standards of the Gas Inspections Act and Saskatchewan Codes of Practice (search TSASK Mobile Outdoor Food Service Units). Each mobile unit requiring a propane installation must have a certificate of inspection for the current year indicating the equipment meets code. A representative from TSASK Gas Inspections may be present to do a spot check; the representative will request the annual certificate of inspection.
